Cancellation policy, terms and conditions for weddings and accommodation at THE WEDDING SHED, KOOKABURRA HIDEAWAY AND THE WOODCUTTER'S SHED and surrounding property.

To make a wedding booking at the The Wedding Shed, Kookaburra Hideaway and and/orThe Woodcutter's Shed (The Venue) an  initial booking fee of $1000 is payable to secure wedding date and a further $1000  interim booking fee is payable 180 days (6 months) prior to the booked wedding date.  (This differs from our accommodation only booking fee).

 

​In the event of a  Wedding/Venue cancellation, the initial and interim booking fee/s paid to secure and retain booking  are 100% non-refundable under any circumstances.  As soon as a booking is accepted by us all other enquiries are turned away and replacement bookings are often not possible, especially if cancellation occurs close to the date of the wedding booking.

In addition to the initial and interim deposits/booking fees being non refundable the following penalty applies.

 

If a wedding is cancelled 180 - 61 days prior to wedding date the initial and interim booking fee/s  are non refundable.

If a  wedding is cancelled 31 to 60 days before the wedding, 50% of the total amount is due and payable. 

If a wedding is cancelled 61 days to 120 days before the wedding date, 30% of the entire whole amount is  due and payable. 

 

If a wedding is cancelled 30 days or shorter to the wedding date, the entire whole amount is due and non-refundable. 

In the event of postponement of wedding to later date any refund for future cancellation is based on original date of booking and not the new booking.

In certain circumstances e.g a genuine Covid 19 circumstance  a credit note may be issued for a future date, however with the easing of Covid 19  restrictions and introduction of a Covid Vaccine cancellations and postponements are not  likely to be necessary.

 

In the event that compulsory vaccination for weddings is introduced we as a venue will comply with government mandates  as will the majority of wedding venues, for the health and safety of their guests and venue.

We respect that not everyone has the same view with regard to Covid 19 vaccinations, however if a couple cancels their wedding because they or their guests do not wish to be vaccinated, that would not be a special Covid 19 related exception and our normal terms and conditions would apply.

Cancellation due to non-communication with venue by Marrying Couple.

Communication is an important part of the wedding planning experience.  Whilst there may be times when communication is at a minimum due to a wedding being planned far in advance, it becomes a concern to the venue if no response is received from the Marrying Couple on the lead up to their wedding.   Experience has shown us that this can mean that the wedding is no longer going ahead.   We will try every method of contact possible i.e. email, phonecall,  text and  trackable post to contact the Marrying Couple.   If after 30 days, we have not been able to make contact we reserve the right to consider a wedding cancelled by the Marrying Couple due to non communication with their deposit forfeited.

All communication must be in writing through email weddinghq@gmail.com, via face to face documented meetings,  or via Australia Post to Kookaburra Hideaway, 336c Old North Road, Pokolbin, NSW 2320.  

 

We do not accept communication through social media such as Facebook/WhatsApp/Snapchat etc. as a reliable means of communication.

Cancellation policy for accommodation (Kookaburra Hideaway, The Woodcutter's Shed and Wallaby Lodge) and any other areas on our property.

 

All initial and 6 month prior interim booking fees made to hold reservations are non refundable, unless cancelled within 48 hours of the initial booking.

 

If "accommodation only" booking the balance is payable 30 - 60 days prior to arrival depending on booking options. If booked as part of a wedding package then Wedding cancellation policy applies.

 

Cancellations made  30 days or less prior to arrival incur a 100% loss of full price of  booking.

In the event of a cancellation due to Covid, the cancellation must relate to a Covid restriction in place at the time of commencement of booking.   Any cancellation made prior may be considered a "change of mind".  If Covid restrictions prevent all guests from staying at Kookaburra Hideaway, The Woodcutter's Shed then there will be an option to move to a future date within 9 months at no extra cost.

If any bookings are made through a 3rd party website such as Airbnb or Homeaway, the booking and cancellation terms and conditions will apply and are completely separate from our terms and conditions.  

Payment Terms

To make a firm booking with us we will require a $500 - $1000 booking fee paid via Paypal or Credit card. ($1000 deposits can be made in 2 installments of $500 over 14 days). a further non refundable payment of $1000 is required 180 days prior to booked wedding date in order to protect us from last minute cancellations that we cannot replace.

Progress payments

Please note, progress payments are an agreed payment plan towards the full price of your wedding, which is your invoice total.  Your invoice total is the amount due and payable.

180 days prior to your wedding a further $1000 non refundable booking fee payment will be required.


120 days prior to your wedding 50% of your balance will be payable.

 

60 days prior to your wedding your final balance and numbers to be given 

 

Your initial and interim booking fee/s are non-refundable. Progress payments are a portion of the total price invoiced for your Wedding and are due and payable and subject to collection at set times during the lead up to your wedding. Once your booking is made, we and other vendors turn away other booking requests for your dates, therefore if payments are not made or a booking cancelled we need to be compensated as we are likely to not able able to get a replacement booking.

Please note, if you choose to make additional payments prior to due date, we may not be able to refund you in full in the event of  you cancelling your wedding (within allowable periods).  Because we are a small business we may have to enter into a payment plan to refund money you have paid us in advance.

Change of Wedding/Accommodation booking date/postponement

A change of booking date is permitted once, however a non refundable payment of $500 to $1000 will be payable depending on notice given and circumstances.   Additional amounts  paid to change booking will be credited towards the overall cost of wedding and are not an additional charge.  If further changes are made to Wedding booking dates and numbers we reserve the right to charge additional fees to compensate for bookings turned away and loss of income. If you wish to postpone your wedding to a later date this can be done once, subject to availability.  We reserve the right to add additional fees for future dates where prices have been increased depending on circumstances.  We will always try to be helpful and flexible, however, we need to protect our business.

You can also make payments via PayPal along the way, however please note that in the event of cancellation any refund of excess payment to us may need to be via a payment plan.

Legal requirements for getting Married

Please note that your signed and witnessed NOTICE OF INTENT TO MARRY form must be lodged with your Celebrant no less than 31 days prior to your Wedding date.  Reminders are sent, however this is ultimately the marrying couple's responsibility to ensure that their Notice of Intended Marriage is lodged according to the lawful requirements.
